CASE Institute and BriefCASE Cancellation Policy

CASE encourages participants to register early and pay with a credit card to secure their spot in the CASE Institute.

CASE Institute Room and Board Changes

After much discussion, the Executive Committee has changed the policy to provide more choice and flexibility for participants. View the full policy change announcement here.

The following changes have been made to the policy.

  1. Participants will make room for their own reservations at a CASE Institute.
  2. Hosts will include one evening meal in the cost of the CASE Institute.
  3. Pricing for CASE Institutes will be the same for each type. For example, all AFNR CASE Institutes will be offered for the same price.
  4. Hosts can offer an add-on package with room and evening meal accommodations. The participant will purchase these packages from the host and not from CASE.

The CASE Team understands there may be questions on how this change will affect CASE/The Council, hosts, participants, school districts. and Lead Teachers. Frequently Asked Questions

What are the options for a Host when planning a CASE institute?

Option 1: Reserve a block of hotel rooms for participants to make their own room reservations. The hotel should offer a free breakfast. Hosts will provide one evening meal on an evening of their choice.

OR

Option 2: Set up a room and board package for participants to reserve with the host. This may be an optimal choice for hosts that use dormitories and campus cafeterias. Hosts will provide all evening meals.

     What are hosts responsible for if they choose Option 1?

    Reserve a rooming block at a hotel and provide CASE with a web link from the hotel to share with participants when they register for the CASE website.

    This block is open from the day before to the day after the event.

    Blocks will have cut-off dates, so there is no financial risk to the host.

    Reserve one evening meal for all participants and Lead Teachers.

    CASE will make all CASE Institute room and flight reservations for the Lead Teachers.

     What are hosts responsible for if they choose Option 2?

    Hosts will develop and manage their own room and board package.

    Cost, package, and purchase information will be on the CASE Institute registration page.

    Participants will need to purchase the package with the host.

    CASE will make all CASE Institute room and transportation reservations for the Lead Teachers.

     How does this policy impact Lead Teachers?

    CASE will make all CASE Institute room and transportation reservations for the Lead Teachers.

    Lead teachers will be issued a travel stipend for all expenses, including evening meals. No travel voucher will be needed except for mileage.

    Lead Teachers driving will use a travel voucher for mileage reimbursement.

     Are other lunches, snacks, and breakfasts still provided to participants?

    Yes, hosts will provide all lunches and snacks.

    The designated hotel or dorm(cafeteria) the host chooses will include breakfast.

     What if participants still want to eat together more than once in the evening?

    Hosts can recommend or choose to set up locations for participants to eat and socialize.

    Costs will be the participants and not the host.

     How will CASE work with hosts to ensure a consistent price?

    To reduce material costs, CASE will offer hosts a rental kit that includes specialty materials and capital supplies, such as Vernier equipment.

    Room and board are among the largest variables for CASE Institute pricing. Removing room and board from the initial price allows for prices to be consistent.

    The price of each institute will include funds to support host services and facilities.

    CASE will now manage the room and board for the Lead Teachers. This cost will be included in the CASE Institute Management Fee.

     How do these changes impact CASE?

    Reduces the National Council for Agricultural Education and Hosts' liability. Liability exists when rooms are assigned when the host or the Council makes room reservations.

    Reduces expenses from cancellations and transferring funds from the Council to hosts and eventually to the hotel or eating establishments.

     How do these changes increase flexibility for a Host?

    Allows for last-minute changes when a school district changes the teacher attending.

    Reduces operational/administrative time.

    CASE Teacher Transition Policy 

    The CASE Teacher Transition Policy helps bridge the certification gap between incoming and outgoing new teachers. Teachers must be certified to use the curriculum published by CASE 4 Learning to maintain instructional consistency in an agricultural program that utilizes CASE 4 Learning.

    CASE certification is the key to accessing CASE 4 Learning curriculum. A teacher who completes CASE professional development receives a certification to access specific courses. CASE certification stays with a teacher throughout their career regardless of their employment.

    When a CASE-certified teacher leaves a school, the incoming teacher can apply for a probationary period to use the curriculum in which the previous teacher was certified for one school year. The school district and incoming teacher must commit to the incoming teacher attending a CASE Institute within one year of receiving probationary access. If more than one CASE course is offered, the new teacher must complete certifications for all courses at a rate of at least one course per year.

    An incoming teacher can access the CASE curriculum for the course(s) in which the former teacher was certified for ONE instructional year after completing the following steps.

    1. If the incoming teacher does not have a MyCASE account, they need to create one to access the curriculum once it is granted.
    2. Complete the Curriculum Access Request Form to apply for Probationary Access.
    • Accurate billing contact information helps expedite the invoicing process; access will not be added to your MyCASE account until the invoice is paid in full.
    • Include a letter from the administration committing to sending the incoming teacher to a CASE Institute for the specific course certification at the end of the school year.
    • Include a purchase order number for reference
    1. The non-certified teacher completes CASE Foundations, approximately 1 hour of online professional development.
    2. Pay the certification fee.
    • An invoice is sent after the curriculum access form has been completed and reviewed by CASE 4 Learning for accuracy.
    • This fee is credited towards the cost of professional development the following summer.

     

    This policy was adopted by the CASE Advisory Committee on November 9, 2011. This policy was later amended in April 2013.
